Overview

An audience is a collection of people (candidates) on AssessBook that can be set up either statically or dynamically.

Audiences allow you to distribute your courses and activities to a group of users.

Creating a Static Audience

A set audience is an audience which is static and to which candidates have to be added manually.

To create a set audience, go to the admin menu (settings cog) and select Audience, followed by Add a new audience:



Here, you can name the audience and select the Type as 'Set'. You can select a start and end date for the audience and whether alerts are sent to members of the audience in addition.

Once you have created the audience you can add/edit using the tabs in the view below:



The tabs at the top of the page dictate the following information:

  • Members - who is in the audience

  • Edit members - add and remove members of the audience

  • Enrolled Learning - which courses, programs and certifications the audience is enrolled onto by default

  • Learning Plan - assign a set learning plan to the everyone in the audience

  • Goals - assign goals to the audience

  • Assign roles - all members of the audience are assigned to a role in the system, e.g. Trainer, Learner, etc.


Creating a Dynamic Audience

A dynamic audience is an audience which is constantly changing as users are added to/removed from the system, or as their personnel information changes. The audience is built upon a set of rules.

To create a dynamic audience, the same applies as above, except when setting the Type, you will need to select 'Dynamic' instead.

The same tabs will also appear as above, but with the addition of the 'Rule sets' tab as follows:



It is from here that rules can be put in place based on factors such as personnel information, job assignments, learning, etc.

Rules can be applied with either AND or OR conditions:

  • AND requires that the candidate meets all rules allocated to be included as a member of the audience

  • OR dictates that candidates only have to one of the rules in order to be included as a member of the audience


Audience Sync

When enrolling an audience to a course, it is possible to enrol a primary audience (e.g. All Managers) as well as a secondary (e.g. All Managers who are also Drivers) and tertiary audience (e.g. All Managers who are also Guards). All members will have been enrolled on two occasions via their relevant audiences. 

This means it is then possible to unenrol the primary audience leaving the two subdivided groups, whilst maintaining the course data for all. 

This may be helpful when a large group of individuals is registered to a course but the course is not relevant to all. This method can then be used to un-enrol only some members of an audience without having to completely remove and rebuild audiences to then assign them to courses.
