Programs and Certifications

Programs are a sequence of courses that can be assigned to Learners to comprise a complete learning package. It can be set up so that some courses have to be completed before others, all courses have to be complete, or the learner can choose which courses to complete. This can be useful if you have an onboarding program of courses that trainee drivers have to complete, or a sequence of courses that comprise management training.

Certifications are similar to Programs, however, they are only valid for a certain amount of time before the Learner has to re-certify. This is particularly useful if you have training courses that have to be taken on a 2-year basis to maintain competence.

Learners can be assigned to both Programs and Certifications based on their position, organisation and audiences.

Creating a Program

To create a program, go to the admin menu (settings cog) and select Programs. On the the menu to the left of the page, select Manage programs followed by Add new program:

Once the Create new program window is open, you will be able to configure your Program via the following tabs:

First you will fill out the 'Details'

tab - this is where you assign general information about the program

such as name and dates

including the name, short name and the available from and until dates:

Next, fill out the 'Contents'

tab - from here, you can build out the course content that comprises the Program. If you add more than one set of courses then you can define how the course sequence takes effect i.e. by

using THEN

using THEN, AND, and OR conditions:

Assignment tab - determine



The 'Assignment' tab determines who is enrolled onto the Program. Individual users can be added manually or via their audience, position, or organisation

In the Notifications tab you can add notifications to the Program which can be triggered when certain conditions are met i.e. when the Program goes overdue or a user has been enrolled for the first time. You can also edit these notifications to include your own text:

The 'Completion

tab - from here, review user progress/completion

Image Removed' tab allows you to view learners program completion details and the 'Exception Report' will show any exceptions when you assign the program to learners. 


Creating Certifications

To create a certification, go to the admin menu (settings cog) and select Certifications. On the menu to the left of the page, select Manage certifications followed by :

You will then be taken to the below page, here, select 'Add new certification':

Here a page similar to the Create new program window will appear, with some notable differences:


In the 'Details' tab, add in the certification full name and short name. Here, you can also set an available from and an available until date:

Next, in the 'Content' tab, you will need to add the courses that you would like in your certification

The 'Certification' tab is where you will enter the recertification details for the recertification path.

For the recertification date, there are three different options to choose from: 

  • Use certification completion date: The active period is added to the completion date. Over the span of several recertifications, this option can cause the expiry date to drift backwards (when completed early) and forwards (when completed overdue).
  • Use certification expiry date: Uses the last expiry date to calculate the next. The first time this is calculated, it adds the active period to the assignment due date if there is one, otherwise it uses the date the certification was completed. If the user is overdue or expired, it adds the active period to the date the primary certification was just completed (as if the user was newly assigned), so that certifications are active for a minimum of the active period. Over the span of several recertifications, this option can cause the expiry date to drift forwards (when completed overdue) but not backwards.
  • Use fixed expiry date: This option causes the expiry time to be calculated based on the specified assignment due date (if available, otherwise the first completion date), and subsequent completion expiry dates will be calculated using that same base date, regardless of whether they are late or early. The active period is repeatedly added to the base date until the first future date is discovered. The Minimum active period is available only with this setting, and must be at least as big as the Recertification Window (see the Minimum active period help for more information). Over the span of several recertifications, this option will prevent the expiry date from drifting forwards or backwards.

We usually recommend using the certification completion date. The active period defines how long the certification is valid for from the initial completion date and the recertification window defines the amount of time the certification re-opens before the expiry date. 

The 'Completion' tab allows you to view learners certification completion details and the 'Exception Report' will show any exceptions when you assign the certification to learners. Learners will usually appear in the exception report if they are added after their certification had expired or if they have less than the minimum time allowed to complete the recertification.
