This document gives direction on how to create appraisals within AssessBook.

How to create an appraisal

Click on the cog icon in the top righthand corner of the screen and click on 'PDRs' under the 'Performance' tab:

Then click the 'Create PDR' button at the top of the page:

You will then need to fill out the appraisal name and add an optional description. Then click the 'Create PDR' button at the bottom of the page to create your appraisal:

How to add a stage

Once you have created your appraisal, you then can start adding your stages. To do this, click on the 'Content' tab and click 'Add stage':

Name the stage that you are adding, add an optional description and then add the 'complete by' date:

There is an option to lock each stage once users have marked the section as complete, you can action this by ticking the relevant roles in the 'Lock stage after completion' section:

How to create a page

Once you have completed all of the information, click 'Add stage' to add the stage to the appraisal. The next step will be to add pages, to do this, click the 'add new page' button, name the page and click 'add new page':

The page will now appear under the test stage, here you chose the type of question(s) you would like to add from the dropdown:

As an example, I have chosen to add a long text question, against which you will need to fill out the fields marked with an asterisk:

You can choose who can answer the question and who can view the answer to the question. As another example, I have added a multiple choice question:

Again, you will need to ensure that any fields marked with an asterisk are complete. You can also allow a user to choose a course to add to their appraisal and review by choosing 'courses from learning plan' from the dropdown:

How to assign users to an appraisal

Once you have added all of the pages required for your appraisal, you will then need to choose to whom to assign the appraisal. You can assign the appraisal to users by their audience, position or organisation. You assign the users in the 'Assignments' tab using the dropdown below:

How to create messages for your appraisal

Once you have assigned the users, you can then set up messages that will be sent for a specific event by going to the 'Messages' tab and clicking the 'Create Message' button:

You can choose to either send a message when the assignee gains access to the appraisal or at specific stages. Here you will also set the timing of when the message is sent, who receives the message and whether to send the messages at complete or incomplete stages:

You will also need to add the message title and the message body, please see an example below.

Please note: information in square brackets [] denotes placeholder text that is designed to pick up the relevant information for the user receiving the notification. All placeholders are noted on the 'i' icon next to 'Message body' and 'Message title':

Once all of the information has been completed, click the 'Save changes' button at the bottom of the screen. You can now preview the appraisal, and if happy, activate the appraisal by selecting the 'Activate now' button:

Please note that the appraisal will not allow you to activate it if there is no 'complete by' date assigned under the 'Content' section.
