Overview

Resources can be configured for personnel to sign any configurable item such as an engineering task, training courses or management capabilities.

To set these up, we will create types and sub-types in order that these:

  • are shown only to those roles which need to see them.
  • are grouped together, ready for reporting.

Creating a Resource

Resource Type

The first thing to be created is the Resource Type, for example this could be ‘Training’ as this can be split into multiple different training types. These are created under Resource > Resource Type in the menu.

You can select which roles that the Resource will apply to using the ‘In Use’ column on this page. This can be changed at a later time as well.

Properties can also be added if you need any information to be stored with the resources when the candidate signs them. For example, a course date can be required to track when the course took place.


Resource Sub Type

Resource Sub Types are created for a Resource Type, an example of this could be Health and Safety Training. A Sub Type can be created from Resources > Resource Sub Type in the menu.

This allows you to group your resources to allow for improved reporting.


Resource

A resource is the actual item that someone will be signing. This could be ‘First Aid Training’ or ‘Fire Awareness’ within the Health and Safety Sub Type. Similar to the above, you can create a Resource by going to Resource > Resource in the menu. An expiry time can be added at this point to show any resource that goes out of date, such as every 2 or 3 years.


Signing a Resource

Personnel can sign resources by going to the role tab (Driver, Train Manager, etc.) on their profile page and adding these under the tab with the Resource Type name.

If someone already signs the resource, you can update the executed date by selecting a resource, right clicking and then selecting 'Execute'. Also, personnel may request a resource to be signed using the request sign button. Below is the pop-up presented to candidates from the role tab on their My Page:


Managers are able to request a refresh on a resource by selecting the resource and then clicking on the Resource Admin button followed by Request Refresh. This will mark the resource as ‘Refresh Required’ and the candidate will need to update the executed date. Optionally, this can then be authorised or rejected by the manager. Below is a screenshot of the view a manager would have on the Candidate Dashboard:


If you do decide that approvals are required, you will need to add a new property to team types that are allowed to do this. If you go to Menu > Personnel > Team Type and open the type of team that is allowed to do this. You can add a new property:

  • In Key, enter ‘RESOURCE’

  • In value, enter ‘true’

This allows managers to view all of the resources to be approved or rejected on the resource authorise page as shown below:
