This page details how to add programs within AssessBook. 





Click on the cog in the top right hand corner of the page to show the administration menu and then select 'Programs':


Creating the program



It will then take you to the below page which will show all of the current categories that you can add a program to: 



Click on the category that you would like to add the program to, it will the take you to the below page. Click 'Add a new program':


You will then be taken to the below page, fill in the full name and short name of the program and any other information required and click 'save changes' at the bottom of the page. 



Adding program content


You can then add the program content to the program from the 'content' tab. You can add a set of courses or a competency. For this example, I have added a set of courses. 


When you click the 'add' button, the below screen will pop up for you to choose which courses to add to the program: 



Once you have selected all the courses that you'd like to add, click 'ok' at the bottom of the screen and this will add all of the courses. 

There is the option to add more than one set of courses with different conditions to a program. To do this, follow the same steps as above and choose the courses that you would like to add to the next set of courses. Once you have chosen the courses, you can then choose the conditions around completion. 

You can set it so that users have to complete both sets of courses, either one set after the other by choosing 'then' from the drop down below or both but in no particular order by choosing 'and'. If they only need to complete one set of courses, then choose the 'or' option: 



You can also decide whether users are required to complete all or some of the courses in the set, or make all courses in each set using the drop down below: 



Assignments

Using the assignments tab, you can add audiences,  individuals, organisations, positions and management hierarchies to the program. From the drop down, choose how you would like to add assignments, for this example I have chosen audiences: 


Click 'Add' and then 'Add audiences to program',  you can then select from the list which audiences you would like to add. You can also add individuals to the program, follow the same steps as above however choosing 'individuals' instead. The assignments tab will then show the below, you can add as many audiences and individual users as needed: 


Once you have finished adding all of your assignments, click 'Save changes' at the bottom of the page. 


Notifications


To add a notification to your program, use the notifications tab and click on the notification that you would like to add. You can see from the below page that all notifications are enabled when you create a program, to disable them, simply click on the blue slider button. To edit a notification that you would like to send, click the three dots next to the notification: 



In this screen, you can edit the text within the notification and also how the notification is received. Once you have edited any details, click 'Save' at the bottom of the page: 



You have now successfully added a program to AssessBook. 


Exception report


The 'Exception report' tab will show any errors that have occured when assigning users to the program. There are three options you can use to rectify any of the errors that might show: 

  • Assign: This means "ignore the exception and add them to the program anyway". The user is now treated like any other user who was assigned without getting an exception. They should receive any program messages that other users would have got at the time when the exception is resolved. In the background the exception still exists it is just marked as "handled". Otherwise it might be recreated again.
  • Set realistic due date and assign: The system automatically calculates a realistic time frame for the learner. This is based upon the minimum program time required plus one week. 
  • Do not assign: This means dismiss the exception. The user is still assigned to the program and will appear in the completion report. If the user was added to the program in error, they must be removed via the Program Assignment method used.
